In the Data Explorer application, you can assign folder access permissions to specific users and roles.

Prerequisites

  1. Your role must have the required permission to manage folder access in the Data Explorer application. For more information, see Edit Ardia Core privileges for a role.
  2. You must have Can Edit permission for the folder to manage access to that folder.

Procedure

  1. NOTE

    If a user enables the No Access permission for a folder, you cannot manage its access unless your role has the Manage Access for Any Folder privilege. With this higher privilege, you can override the No Access permission and manage the folder's access.

  2. Open Data Explorer application.
  3. To manage access to a folder, do one of the following in the content area:
  4. Select the folder's row and then select Manage Access on the command bar.
  5. Select on the folder's row and then select Manage Access.
  6. Right-click the folder's row and then select Manage Access.
  7. NOTE

    To manage access to the Ardia Repository, right-click the Ardia Repository root folder in the navigation pane and select Manage Access.

  8. NOTE

    You can specify access for only one folder at a time. If you select more than one folder or select a synchronized folder, the Manage Access command is unavailable.

  9. The Manage Access dialog box opens, where you can select which users can perform specific actions on the selected folder.

  11. NOTE

    By default, the folder inherits the permission settings from its parent folder.

  12. Select Override to edit the default permissions.
  13. The options in the Manage Access dialog box become editable.
  14. NOTE

    The Folder Name box is read-only.

  16. Do one of the following:
  17. Select Users from the dropdown list to grant folder access to specific users.
  18. Select Roles from the dropdown list to grant folder access to the users assigned with the selected roles.
  19. From the next dropdown list, select one or more users or roles.
  20. Select an option from the Permissions dropdown list, which are defined in the following table.

Option

Description

Can View

User or role gets access to view and download the contents of the folder.

Can Edit

User or role gets access to view, download, archive, restore, rename, cut, move, copy, paste and upload contents, create a new folder inside the folder and manage folder access.

Full Access

User or role gets access to delete the contents of the folder, in addition to the accesses under the Can Edit permission.

NOTE

Some folders have a Custom permission in the User with Access area because they were assigned access permissions using an older version of the Data Explorer. These older permissions do not match the current predefined permissions, so they are categorized as Custom. You can change the Custom permission to one of the current predefined permissions, such as Can View, Can Edit, or Full Access. However, you cannot assign Custom permissions to any of the folders.

  1. Select Add.
  2. The selected roles are listed in the Users with Access box, under Roles.
  3. The selected users are listed in the Users with Access box, under Users.
  4. To set permissions for all the registered users except the ones added in the Users with Access box, select an option from the Other Registered Users dropdown list. The options are defined in the following table.

Can View

Users get access to view and download the contents of the folder.

Can Edit

Users get access to view, download, archive, restore, rename, cut, move, copy, paste and upload contents, create a new folder inside the folder and manage folder access.

Full Access

Users get access to delete the contents of the folder, in addition to the accesses provided under the Can Edit permission.

No Access

Users do not get any access to the contents of the folder.

  1. (Optional) Do any of the following:
  2. To remove a user or a role, select at the end of its row.
  3. To remove all the roles added in the Users with Access box, select Clear Roles.
  4. To remove all the users added in the Users with Access box, select Clear Users.
  5. To remove all the access settings defined for this folder and inherit the settings of the parent folder, select Inherit from Parent.
  6. Select Save.
  7. The Add a Comment dialog box opens.
  8. Enter your comment and then select Save.
  9. NOTE

    The Add a Comment dialog box opens only if the Prompt for Comments When Saving toggle is turned on in the Global Settings (according to the audit policy in your organization). See Configure global settings for the Ardia Platform.

    The comment that you enter is added to the Comment column of the Audit Trail Viewer. See Open the Audit Trail Viewer.

  10. A message confirming the successful update is displayed.
  11. If you do not have the appropriate permission, an error message is displayed.
