Using the Data Explorer application, you can upload documents to the Ardia Repository. Some of the allowed file formats include .doc, .pptx, .xlsx, .csv, .pdf, .jpeg, .png, and .gif.

Prerequisites

  1. Your role must have the required Ardia Core permission to upload data in the Data Explorer application. For more information, see Edit Ardia Core privileges for a role.
  2. You must have the Can Edit permission for the folder to which you want to upload the documents. For more information, see Manage folder access.

Procedure

  1. Open the Data Explorer application.
  2. Navigate to the folder where you want to upload a document.
  3. Select Upload Files.
  4. NOTE

    The Upload Files button is available only for folders with one of these statuses: Live, Live Archive Locked, or Live Archive Incomplete.

  5. The Open dialog box opens.
  6. Select one or more documents, and then select Open.
  7. TIP

    You can also drag the documents directly from the Windows File Explorer to the Data Explorer page.

  8. The Add a Comment dialog box opens.
  9. NOTE

    If you upload a document of the same file type and with the same name as one already in the folder, the application displays an error message stating that there is a duplicate document, and cancels uploading that file.

    The file types that you can upload in to the Ardia Repository are defined in the Allowed File Extensions list in the Ardia Global Settings application. For more information, see Manage file types for upload. If you upload an item of a file type that is not included in the Allowed File Extensions list, the application terminates the upload and displays an error message.

  10. Enter your comment and then select Save.
  11. NOTE

    The Add a Comment dialog box opens only if the Prompt for Comments When Saving toggle is turned on in the Global Settings (according to the audit policy in your organization). See Configure global settings for the Ardia Platform.

    The comment that you enter is added to the Comment column of the Audit Trail Viewer. See Open the Audit Trail Viewer.

  12. A progress bar at the bottom-right of the Content area displays the status of the ongoing upload.
  13. NOTE

    At this stage, you can cancel the entire upload or an individual file upload. For more information, see Cancel an upload.

  14. When the upload is complete, the progress bar closes and the system sends a notification confirming the successful upload.
  15. The document is added to the Ardia Repository.
